Edenbridge Tennis Club is a not-for-profit community tennis club located in Toronto, Ontario.

2. Information We Collect

• Contact forms & email: name, email, phone, and any details you submit when you contact us or join a mailing list.
• Membership & bookings (if applicable): member profile details, transactions, and court reservations handled via our provider(s).
• Payments (if applicable): processed securely by third-party providers; we do not store full payment card details.
• Website usage: pages viewed, device/browser info, and general location (city/region) collected via analytics.
• Cookies: small files used to keep you logged in, remember preferences, and measure usage (see Cookies & Analytics).

3. How We Use Information

• To operate the website, process inquiries, and provide club services (e.g., memberships, bookings, programs, events).
• To send club updates and newsletters when you opt in (you can unsubscribe anytime).
• To improve the site and plan programs using aggregated analytics.
• To meet legal, security, and audit requirements.

Google Analytics (GA4)

• We use GA4 to understand how visitors use the site. IP addresses are processed by Google; IP anonymization is enabled in our GA settings.
• Data retained in GA for 14 months (configurable).

5. When We Share Information

We do not sell personal information. We may share with “service providers” who help us run the club and the website, such as:

• Website & hosting: WordPress and hosting partners.
• Analytics: Google Analytics.
• Email newsletters (if used): Provider name (e.g., Mailchimp).
• Membership/booking system: Provider name.
• Payments (if used): Provider name (e.g., Stripe/PayPal).

These providers process data under their own privacy terms and only for our club purposes. We may also disclose information if required by law or to protect the safety of members and the club.

6. Retention

• Website forms/emails: kept for up to 24 months unless you request deletion, subject to legal holds.
• Newsletter lists: kept until you unsubscribe.
• Membership/booking records: kept for 7 years for administration and financial record-keeping.
• Analytics: per GA4 retention setting noted above.

7. Your Rights (Canada)

Under Canadian privacy law (PIPEDA), you can request access to, correction of, or deletion of your personal information that we hold. You can also withdraw consent to marketing at any time.

8. Security

We use reasonable administrative, technical, and physical safeguards appropriate to the sensitivity of the information. No method of transmission or storage is 100% secure.

9. Children

This site is intended for a general audience. Where youth programs involve minors, any personal information collected is handled through our membership/registration provider and managed by parents/guardians in accordance with applicable laws.
